Set up a workspace for each client

When you finish, each client has a workspace of their own. Each one has its own projects, people and assistant tokens. It takes about ten minutes per client. A workspace is one shared space with its own projects and members, and a role for each member.

Ana is a freelancer with three clients: a bakery app, a hotel site and a clinic booking app. She has three workspaces, one per client. The bakery's owner is a guest in that workspace. The owner sees the board and the time on each task, and nothing from the hotel or the clinic.

What you need

Steps

1. Make a workspace for the client

Open the workspace switcher. It is the name at the top of the sidebar, or at the top of the screen on a phone. Choose New workspace, type the client's name under Workspace name and press Create workspace. You are its owner, and the app opens it.

Go to Settings and find Logos. Tap the row for the workspace and pick a picture. The logo shows next to the name in the switcher, so your clients are easy to tell apart. This step is optional.

3. Make a project

Open Projects and press New project. Give it a name and a short key, like BAK. Its tasks are numbered BAK-1, BAK-2 and so on. The board starts with three columns: To do, In progress and Done.

4. Invite the client as a guest

Open the switcher and choose Members. Press Invite, type the client's email, pick Guest and press Send invite. A guest can see the workspace but cannot change anything or comment. The full steps are in invite your team and your clients.

5. Make one assistant token per client

On the Mac, with this workspace open, go to Settings → Developer and press New token. A token is a secret key that lets an AI assistant act as you. It only works in the workspace that was open when you made it. Add it to your assistant under a name like devboard-bakery. See connect devBoard to Claude Code for that part.

6. Repeat for the next client

Go back to step 1 for the hotel, then the clinic. Each client gets a workspace, a project, a guest invite and a token.

Check that it works

Open the switcher. You see one row per client, each with its member count. Pick one. Projects, the board and My Work now show only that client's work.

Your private to-do list does not change when you switch. It belongs to you, not to a workspace. So "send the hotel invoice" can sit next to "renew the bakery domain".

What to try next

If it does not work

What you see Why What to do
Work from another client The wrong workspace is open Pick the right one in the switcher
Your assistant sees the wrong projects Its token was made in another workspace Make a token with the right workspace open
The client cannot move cards or comment They are a guest That is what a guest is. Make them a member if they should edit
A timer is still running in the last workspace Timers in two workspaces do not stop each other Switch back and stop it there
No New project button You are not an admin or owner here Ask the owner of the workspace
No Developer section in Settings You are on a phone or iPad Use the Mac app

Questions people ask

Can I see all my clients' tasks in one list?

No. My Work and saved views show one workspace at a time. Switch workspace to see the next client. Your private to-dos are the one list that stays the same everywhere.

Can my client see how much time I logged?

Yes. A guest can see the time on each task, with who logged it and how long. They cannot add or change time.

Does each workspace cost extra?
